Conduct Your Membership Inventory First
By conducting your unit’s membership inventory you will have everything you need to process your charter renewal online beginning October 1. We have been instructed by the church to register all youth ages 8 to 18 that appear on our ward roster.
1. Have your ward clerk print off four reports:
a. All boys ages 8, 9 and 10
b. All young men ages 11, 12, and 13
c. All young men ages 14 and 15
d. All young men ages 16,17,and 18
2. Compare these rosters with the Charter Renewal Reports in your
packet.
a. Cross off any boys from the Preliminary Charter Renewal Report that are not on your current ward roster.
b. Cross off any boys from the Preliminary Charter Renewal Report that you know are from families that have specifically asked not to be contacted. (Consult with the Bishop first)
c. Add any boys to your Preliminary Charter Renewal Report that are not on the Report but that are on your current ward roster. (Do this even if you are not familiar with the boy)
New Youth Applications
A new application is required if you are adding boys that appeared on your ward roster but did not appear on the Preliminary Charter Renewal Report.
You do not need to obtain the signature of the boy’s parent if they are not available. BSA will accept the signature of the Bishop, COR or Young Men President. They should cross off the title “Parent/Guardian and write in their position in its place.
New Adult Applications
A new application is required if an adult is to be registered in one of your Units (Pack, Troop, Team or Crew). The Adult Applications must be filled out and submitted with your recharter paperwork. (Please submit only the “Local Council Copy”) A new application is not needed for adults who are currently registered in a specific unit and show up on your Preliminary Charter Renewal Report. However, a new application is needed if a registered adult is being moved to another unit or added to another unit, ie. Troop to Team etc.
All new Adult Applications must have a copy of the Youth Protection completion certificate stapled to the application.
If an individual is going to be reigistered in multiple units, ie. Unit Committee Chairman or Charter Org Rep in all four units, then he should fill out one application and check Pack, Troop, Team, and Crew. Under the Troop he/she should write “Primary”. Under the other units he/she should write “Multiple”. You should make three copies of his signed application (all signatures) and attach the original with the troop paperwork and the other copies with the paperwork of each of the other units.
Complete the online portion of the charter renewal.
Use your revised Preliminary Charter Renewal Report as a guide and complete the online portion of your charter renewal.
After you have completed the online portion of your charter renewal, please print out the Charter Renewal Report Package and secure the appropriate signatures.
1. Obtain the required signatures on the Charter Renewal Report Application (Executive Officer/Bishop and unit Leader.
2. On any new Adult Applications, the signatures of the Charter Organization Representative and the Committee Chairman are required.
3. The Charter Renewal Agreement requires the signature of the Charter Organization Rep/Bishopric Counselor
Fees
You do not need to calculate the fee chart on the recharter envelope. Just place inside the envelope, the completed and signed:
1. Charter Renewal Report Application for each unit
2. Annual Charter Agreement
3. BSA new Youth applications (attach to appropriate unit)
4. BSA new Adult Applications (attach to appropriate unit)
5. 2010 Centennial Quality Award (if earned)
6. Checks from parents made out to BSA for Boy’s Life subscription ($12.00)
7. The completed - 2011 Recharter Leadership Summary showing all required training dates.
Turn In
Turn in your completed recharter packet at the Four Peaks District turn-in meeting.
